Mifos Specialist: Adept Systems

Jitegemea is a small MFI located in Nairobi, Kenya. They're now currently serving approximately 14,000 clients across 17 branches.  They chose to deploy Mifos for the flexibility and security it would provide as they expanded their services to the rural districts. They worked closely with Adept Systems to automate their manual Excel-based operations and integrate with their Pastel accounting system.

Deployment Overview

Jitegemea was one of the first Mifos customers as part of our original lighthouse customer program.  Their implementation was lead by local Mifos Specialist, Adept Systems.  Bart Berning from the Grameen Foundation was also on the ground to ensure the project moved along smoothly.

Pre-Deployment Analysis

Lessons Learned:

Overall adoption across staff of Mifos was slower than desired.  A key lesson learned was to make Mifos an organization-wide priority rather than just an IT one.

Accounting

Adept Systems built a report to support the integration of Mifos with Jitegemea's accounting software, Pastel.  Please read below to see how transaction data was exported from Mifos to be imported into Pastel.

Data Migration

Jitegemea chose to manually migrate the historical balances from their portfolio that were recorded in Excel.  This ended up being very time consuming, creating delays for the overall project.  

Key lessons learned included:

  • Migrating only current opening balances (historical data proved to be too much)
  • Hiring more data entry staff earlier on in the deployment process. 
  • Better knowledge of Mifos constraints and processes - less adjustments needed later on.

Training

Overall adoption of Mifos by staff occurred more slowly than expected.  Key advice to improve the pace of adoption included:

  • Train Credit Officers and all the employees earlier on in the process
  • Involve Operations department from the onset
  • Making automation and Mifos deployment an organizational priority and not just an IT or MIS priority.

UAT & Rollout

Mifos was rolled out across one branch at Jitegemea. Recently new branches have been opened. Due to the high costs of connectivity. Jitegemea maintains runs these branches "off-line".  New loan applications and collection sheets from the off-line branches are couriered to the head office where they are input.  A copy of the database is brought to each of these remote branches bi-weekly so that staff can monitor their loan portfolio.

Post-Deployment Planning

Jitegemea is engaged with Adept Systems on an annual support agreement providing on-site support maintaining their server, updating reports, and applying Mifos upgrades.
